As we all know we should be communicating in one way or another with our patients and prospective patients at least once a month. The most cost effective way to do this is by sending regular monthly email messages to every patient in your database.
We have always recommended that you make sure that you get your patient’s email address whenever the opportunity arises during their visit to your practice. However, the reality is that very few practices actually have a fully functional system in place to consistently collect email addresses. Most practices have fewer that 20% of their patient’s email addresses and then they don’t have a program in place to send a regular monthly ezine or other form of email message to their patients.
Here’s one way to get a lot more of those email addresses.

Send a individualized formal letter to every one of your patients and prospective patients announcing your new website or your recently improved website. This letter should come from the doctor and be signed by the doctor.

Tell the patient to check out your new website and while there read your new Special Dental Report entitled “The Top Ten Ways to have Excellent Dental Health For the Rest of Your Life” or some other topic that you know will be of interest to your patients.

Tell them that the Special Dental Report will only be available on your website for one or two weeks (pick a deadline date) and suggest that they should print and read the Special Dental Report while it is still available.

Tell them to sign up for your Free drawing while they are on the website. The drawing can be for free whitenings (or some other promotional service) and let them know that 3 lucky patients will win on a specific date.

Also tell them to provide their email address on the website sign-up page so that you can notify them when they win the free whitening. Let them know that by providing their email address they will continue to receive monthly Special Dental Reports and other helpful dental health information. Also they will be kept informed of other free drawings in the future
Now you have their email address as well as their permission for you to send regular monthly information about your practice, new dental services, new technology, new team members or any other information that will help you to enhance your relationship with your patients.
So go get those email addresses. You’ll be glad you did.
